Privacy overview
This overview applies to AnswerOak demonstration requests and approved founding pilots. Client-specific call data, recording and retention settings are confirmed in writing before any live call handling begins.
Information we may collect
When a business requests a demonstration or pilot, we may collect contact details, business information, service requirements and scheduling preferences. During an approved pilot, the virtual front desk may collect caller contact information, service addresses, appointment details and call summaries needed to perform the requested workflow.
Call recording and transcription
If calls are recorded or transcribed, the client’s approved greeting must inform callers at the beginning and explain the purpose. Recording and transcription settings are configured per client and jurisdiction.
How information is used
Information is used to respond to requests, configure and operate the service, send approved notifications, evaluate call quality, prevent misuse and meet legal obligations.
Service providers
Telephone, cloud, AI, messaging, calendar, analytics and payment providers may process limited information as needed to deliver the service. Vendors and retention settings are selected and documented for each approved pilot before live calls begin.
Retention and safeguards
Before any live pilot, AnswerOak and the client must document the intended retention period, approved access, incident contact and deletion or response steps. Those controls are configured and tested before production call handling begins.
Your choices and privacy contact
To request access, correction or deletion, ask a privacy question, or make a privacy complaint, email hello@answeroak.com. Put “Privacy” in the subject and briefly describe your request. AnswerOak will review the request and respond according to the circumstances and applicable obligations.
